myClubhouse, Release Notes
Last updated: Monday, September 23, 2024
This is a BIG release as we have moved to some newer technology (.NET Core) as well as moving our servers from IIS to LINUX.
A new version of course means new features! Here are some of our favourites:
-
Event Tickets:
You can now have digital Event tickets for all of your Events. These can be emailed to the attendees and added to your Apple or Android wallet. You can even have them appear on the user's home screen when they are within a certain distance of the Event location. You can include Event tickets for all Event types, or only selected ones.
-
Membership Cards:
You can also have digital Membership Cards for all of your members. Just like Event tickets, these can be emailed to your members and added to your Apple or Android wallet. You can even have them appear on the user's home screen when they are within a certain distance of your club. You can include Membership Cards for all Membership Categories, or only selected ones.
-
Remember Me:
This feature has been a popular request and we have listened! Now, when you sign in, you can choose for the system to remember you for 14 days so you won't have to sign in again for another 2 weeks.
November 2022 Updates
-
Booking Systems:
The Bookings add-on module has had some major updates and additions:
-
Asset Utilisation:
Asset Utilisation has been added to the Bookings Module. This tool allows you to see what percentage of Bookable Assets are in use in different slots. There are a range of filters so you can see Asset Utilisation for particular Member Lists, Usages, or within a certain date range.
-
Brand New Timeline View:
Whilst we are maintaining support for the existing booking grid, we have now introduced a brand new timeline-style view which, we think, is a big improvement especially where you have more than a few bookable assets. As well as being generally clearer as to what is going on, it also allows more information to be displayed: for example, the names of all attendees; or the values entered in the attached booking Form. You can select the default view for your Booking System on the settings tab of the Booking System admin page.
-
Blackout Period Improvements:
Blackout periods now support exceptions, so, for example, you could define a weekly club session blackout period but then exclude certain assets at certain times from that blackout when the session isn't running. We have moved the management of blackout periods out of the admin page and onto the main booking grid. There is also a new entitlement to allow certain people to manage blackouts without having admin access to the booking system.
-
Bulk Amend Bookings:
As well as cancelling, you can now apply amendments to bookings in bulk. Possible amendments include booked asset, usage, date and time. We have also made some small improvements to the existing bulk create and bulk cancel features.
-
Simpler Booking Popup:
Where multi-slot bookings are allowed, we have now made it much simpler to do this. Simply select the start time from a drop-down and then click one of the duration options.
-
Cost Structures:
If you are charging asset usage per attendee, then you can now define a cost structure with different options for different people. Options can be restricted to members or guests, and also to particular member lists.
-
Excel Table CMS Widget:
Gone are the days of copy and pasting text from your spreadsheet into a table on your CMS page (or Home Page), hoping you haven't accidentally missed a row. You can now upload an Excel file and the system will extract the data for you within a given range. You can also replace the file with a newer version if you need to update the data.
-
Events Calendar Feed:
You can now download an iCal Feed for the Events Calendar. This will mean all Events in the Events Calendar will be shown in your own calendar on your phone or computer. You can still choose to download individual Events that you are attending or organising from the Event page.
-
PDF Templates:
You can now upload PDF templates and populate them with member data. The most common use would be for membership cards, but you could use it for any documents you can think of!
-
Duty Rotas:
You can create Duty Rotas for your Events to assign volunteers or staff to particular roles for each Event. This could be anything from First Aider to the person in charge of making the tea. Members who are assigned duties can swap with others in case they can't do the date they've been assigned.
-
CMS Themes:
You can now define themes for different CMS pages. These are the same settings as the Site Styles and Colours. You can then assign different CMS pages (including the Home Page) to have different styling to other parts of your myClubhouse site, including the colour of the menu and the images that appear on the banner.
March 2023 Updates
-
Competitions: Ladders:
Ladders in the Competitions Add-On module have had a big update with the addition of challenges. Participants can challenge others within the ladder to a match (within limits set by you). They then arrange a date and play the match. Until the challenge is complete (by either entering a result or the deadline being passed) neither particpant in the challenge can be challenged or challenge another participant.
-
Competitions: Walkovers:
Walkovers can now be chosen when entering results for fixtures in Box League, Knockout, and Ladder Competitions. These can be used when a match isn't played or completed and one player is entitled to the win.
November 2023 Updates
-
CMS Event Feeds:
Sign-up buttons in Event Feed Widgets now open the sign-up pop-up in place rather than taking you to the Event page.
-
Teams: Selection:
Team Selection in the Leagus/Teams module has a new look to make it easier to see who is available and make your selections for upcoming fixtures.
-
EPOS: Lightspeed Integration:
myClubhouse now supports both eposnow and Lightspeed (formerly Vend) with the EPOS add-on module.
-
Scheduled Emails:
Scheduled emails are emails that are sent automatically by the system based on changes to a Member List. While similar to Auto-generated Emails, they are not triggered by specific actions within the system but are instead sent at regular intervals as defined in the configuration. These can be used for anything including reminders, a welcome email, and more.
March 2024 Updates
-
Lighting: New Integrations:
myClubhouse now supports both Schneider M221-based and OTB Controllers with the Lighting add-on module.
-
Event: Contact Attendees:
The ability to contact attendees from Events now has its own Entitlement. This allows you to give Event organisers the ability to contact attendees to Events without giving them access to send Emails to anyone through the system.
May 2024 Updates
-
Doors and Gates - New Integrations:
We have added to the list of integrations for the Doors and Gates add-on module with Nutickets and Paxton Net2.
-
Stripe improvements:
It is now easier to add new saved Stripe Cards as well as change which saved cards are used for certain payments.
-
Duplicate Users:
The Find Duplicate Users tool searches the database to find users that might be the same person. You can then easily delete or merge the duplicates.
-
Token improvements:
The Token Payments add-on module has had some improvements so that Token top-ups no longer require the Shop add-on module and can be topped up from the profile page instead. Tokens can also now be displayed as money, i.e. each Token is worth £0.01. It is also now easier to spend Tokens on Event sign-ups and Bookings.
-
Analyse Payouts:
You can now view a list of all the myClubhouse payments that were included in your payouts from your payment provider, including Stripe and GoCardless. This can make keeping your accounts up to date even easier.
September 2024 Updates
-
Bookings - Booking Surcharge:
There is a new rule type in Bookings to allow you to add a surcharge or surcharges to Bookings. This could be a court levy, a floodlight or lighting fee, or a guest fee. The usual flexibility around applying the rule to certain members, times, and usages still apply.
-
Quick Payments on Events and Bookings:
When signing up to an Event or making a Booking, you can now easily pay with Tokens or Refund Credits striaght away without having to first place the item in your basket.
-
Google Plus Codes:
We have integrated Google Plus Codes into our location fields so you can add a specific location for Events, Bookable Assets, Resources, and more, especially when they don't have a postcode/address.
-
Moveable Map Pin:
When adding the postcode for locations in myClubhouse, you can now drag a pin on a map to place it to help you find a more specific location, which can be useful when you don't know the full address or the location doesn't have a postcode.
-
CMS: Home Page Routing:
The CMS add-on module has a new feature so that you can have different home pages for different groups of users. This means you can have one home page shown to the public, another for members, and a different one for admins. This can be especially useful if your club has multiple Sections or Branches.
-
Refund Repeating Payments:
When you have a repeating payment, most commonly for Subscriptions, you can now issue refunds if someone has overpaid or cancelled the Subscription part-way through the season.
We are continuously improving the platform with regular updates, and we will keep adding to this page with new highlighted features and improvements as they are released.
As always, please do not hesitate to contact us if you have any questions about any of these features.
